Passports and Travel Documents
How do I collect a completed Zimbabwean passport?
Collect a completed Zimbabwe passport safely by confirming readiness, taking the correct receipt and ID, cancelling the old passport and checking every detail.

Collect a passport only after the Civil Registry, mission or authorised collection office confirms that it is ready. An estimated completion date is not a collection notice. Before travelling, verify the location and hours because production and collection can occur at different offices, especially for applications started abroad.
Confirm readiness and location
Check the official tracking portal using the application reference. If the status is unclear, contact the office where you submitted or the mission coordinating the application. Ask for the exact collection point, service hours and documents required. Do not accept a social-media message as proof unless you verify it through the official channel.
For an overseas application handled through a nominee, establish whether the new passport is at the Zimbabwe Passport Office, with the nominee, at the embassy or in a courier network. Each stage has a different custodian.
If this applies to your situation, read our guide on passport collection in Zimbabwe.
Prepare for collection
Take the original collection slip or acknowledgement, official payment receipt and your Zimbabwean national ID. Bring the current or expired passport if the office told you it must be surrendered or cancelled. For a child, the authorised parent or guardian should take their own ID, the child’s collection record and any additional authorisation specified at submission.
If the receipt or slip is lost, contact the office before visiting. Ask what affidavit, police report or identity verification it requires; do not borrow another person’s slip.
At the counter
- Present the collection documents and answer identity questions accurately.
- Allow the officer to complete any final biometric or signature check.
- Surrender the old passport for official cancellation when required.
- Receive the new passport and remain at the counter long enough to inspect it.
- Sign the release register or electronic acknowledgement only after confirming receipt.
Never cancel the old passport yourself by cutting, punching or writing on it. An overseas applicant may need the embassy to cancel it and send proof to the nominee before release.

Check the new passport before leaving
Compare the passport against the long birth certificate and national ID. Check:
- Full names, spelling and order.
- Date and place of birth.
- Sex and nationality entries.
- Photograph and signature.
- Passport number, issue date and expiry date.
- Any visible damage, loose page or printing defect.
Report an error immediately and ask staff to record it. Do not travel first and attempt correction later; an inconsistency can affect airline boarding, visas and border checks.
After collection
Store the passport securely and make an encrypted or protected copy of the biographical page. Update visa applications, residence permits, airline profiles, banks or employers that require the new number. Keep the receipt and old-passport copy until all linked matters are settled.

If a courier or nominee is involved, use trackable delivery and do not send the passport through an unverified driver. Collection is the final identity-control stage, not a casual handover. Confirm readiness, prove authority, inspect the document and create a secure record of the new passport number.
Destroy spare photocopies you no longer need securely rather than leaving identity pages in an ordinary waste bin.
Official sources
Before paying or travelling, confirm the latest fee, accepted payment method and office arrangements with the Civil Registry Department.
Frequently asked questions
What documents and requirements are needed for passport collection in Zimbabwe?
The documents needed at collection prove that the completed passport is being released to the applicant or a properly authorised person. Requirements depend on age, whether an old passport remains valid and whether the application was submitted directly or through an overseas nominee.

A Zimbabwean passport is normally collected from the location identified during submission or in the official readiness instruction. It cannot be “collected online.” The portal can show progress, and some offices may arrange controlled delivery, but release of the physical document requires identity verification and a recorded handover.

A passport can be produced but still not be releasable. Collection problems usually involve timing, identity, cancellation or authority rather than the printing process. Ask what specific release condition remains outstanding before assuming the passport has disappeared.
