Passports and Travel Documents
What documents and requirements are needed for passport collection in Zimbabwe?
Zimbabwe passport collection checklist covering the receipt, collection slip, national ID, old-passport cancellation, child collection and authorised nominees.

The documents needed at collection prove that the completed passport is being released to the applicant or a properly authorised person. Requirements depend on age, whether an old passport remains valid and whether the application was submitted directly or through an overseas nominee.
Standard collection pack
Take:
- The original collection slip, acknowledgement or application reference.
- The official payment receipt.
- Your original Zimbabwean national identity document.
- The current or expired passport if the office requires surrender or cancellation.
- The readiness notification or appointment confirmation, if issued.
Keep copies of the receipt and slip separately. A phone screenshot may help explain a loss, but it may not replace the original document the office uses for release. Contact the collection point in advance if anything is missing.
If this applies to your situation, read our guide on collect a completed Zimbabwean passport.
Renewal and cancellation cases
An unexpired old passport normally needs official cancellation before the new one is released. Take it with you unless the office has given another instruction. Applicants abroad may present it to the embassy for cancellation; the mission can then provide evidence that allows a nominee in Zimbabwe to collect the new document. Do not damage the passport yourself.
If the old passport contains a still-valid foreign visa, copy the visa and ask the foreign authority whether it may be used together with the new passport. Zimbabwean passport staff cannot guarantee another country’s visa treatment.
Collection for a child
The parent or guardian connected to the application should take their own original ID or valid passport, the child’s receipt and collection slip, and the child’s old passport where applicable. Ask whether the child must attend. If a different adult will collect, obtain the office’s written authorisation requirements rather than sending a relative with a casual note.

Collection by a nominee
Diaspora procedures may allow the relative named in the application to submit and collect in Zimbabwe. That person should carry the original or mission-accepted authorisation, their own identification, the application reference and proof of payment. The authority should identify both applicant and nominee. A person not named in the process may be refused the document even if they share a surname.
If the collection papers were lost
Report the loss to the collection office promptly. Be prepared to provide the application reference, receipt details, national ID and possibly an affidavit or police report. The office may conduct additional identity checks. Do not create replacement slips yourself or share the reference publicly while seeking help.
Final inspection is part of collection
Before acknowledging receipt, verify the photograph, names, date and place of birth, passport number, issue date and expiry date. Look for physical damage or a poorly printed page. Ask staff to record any error at once.
Collection rules protect a high-value identity document. Arriving with the correct original records, a clear cancellation plan and lawful authority is more important than arriving on the first estimated completion day. Confirm readiness and the exact checklist before travelling.
If the office changes the collector or location, ask for the new instruction to be attached to the same application reference and retain a copy.

Frequently asked questions
How do I collect a completed Zimbabwean passport?
Collect a passport only after the Civil Registry, mission or authorised collection office confirms that it is ready. An estimated completion date is not a collection notice. Before travelling, verify the location and hours because production and collection can occur at different offices, especially for applications started abroad.

It cannot be “collected online.” The portal can show progress, and some offices may arrange controlled delivery, but release of the physical document requires identity verification and a recorded handover.

A passport can be produced but still not be releasable. Collection problems usually involve timing, identity, cancellation or authority rather than the printing process. Ask what specific release condition remains outstanding before assuming the passport has disappeared.
